The starting point and the need

Like many Swedish municipalities, the administration faced a double challenge: growing pressure on individual and family services at a time when experienced social workers were hard to recruit. Much of the working time went on manual documentation, which led to administrative stress and less time for direct work with clients.

They wanted a tool that could fit smoothly into caseworkers’ everyday work without months of training or heavy IT projects.

The rollout: from demo to active use

The rollout began with a two-hour onboarding session in which caseworkers tried the tool on fictional client meetings and practised home visit scenarios in the mobile app. Because Interpreto is adapted to the municipality’s own assessment templates, staff recognised the structure straight away.

In the very first week, caseworkers began using the tool in real meetings, which quickly built confidence and enthusiasm in the team.

Measurable effects in everyday work

Results from the pilot period showed that the average time to complete a case note after a one-hour meeting fell from 45 minutes to under 15 minutes. Caseworkers also felt that the quality of their conversations improved markedly, since they no longer had to sit behind a computer screen taking frantic notes during the meeting.

In interpreted meetings, too, the built-in AI interpreting made things noticeably simpler: urgent meetings could go ahead immediately, without waiting for an external interpreter to be booked.

Conclusions for other municipalities

Experience shows that the key to a successful AI rollout is simplicity, high security and a direct grounding in caseworkers’ actual working routines. The technology is at its best structuring text and taking the writing load off people. When it does, people have time for the human encounter.

Summary

The pilot showed that a well-targeted AI assistant can save up to half an hour per meeting, reduce administrative stress and increase caseworkers’ presence in the conversation from day one.
